Privacy Policy
Last Updated: January 15, 2025
At UltronProCore, we take your privacy seriously. This policy explains how we collect, use, and protect your personal information when you interact with our project workflow planning services.
We operate in Thailand and comply with the Personal Data Protection Act B.E. 2562 (PDPA). But more than that — we believe privacy is about respect. So we've written this in plain language that actually makes sense.
What Information We Collect
We collect information that helps us provide better project management services. Nothing excessive, just what we need to do our job well.
Information You Give Us Directly
- Your name, email address, and phone number when you contact us
- Company details if you're inquiring about business services
- Project requirements and workflow details you share during consultations
- Payment information when you become a client (processed securely through third parties)
- Communication preferences and feedback you provide
Information We Collect Automatically
- Website usage data — pages visited, time spent, general browsing patterns
- Device information like browser type and operating system
- IP address and general location (country/city level, not your exact address)
- Cookies for site functionality and analytics (more on this below)
A note about cookies: We use basic cookies to keep the site working smoothly and understand how people use it. You can disable cookies in your browser, though some features might not work as well.
How We Use Your Information
We use your data for legitimate business purposes. Here's what that actually means in practice:
| Purpose | Why It Matters |
|---|---|
| Responding to inquiries | When you reach out, we need your contact info to get back to you with relevant information about our services. |
| Providing services | If you become a client, we use your data to deliver project planning and workflow organization support. |
| Improving our offerings | Understanding how clients use our services helps us make them better and more useful. |
| Legal compliance | Sometimes we're required by Thai law to maintain certain records for specific periods. |
| Communication | Sending updates about your projects, responding to questions, occasional service announcements. |
We don't sell your data to anyone. That's not our business model, and frankly, it's not how we want to operate.
Your Rights Under Thai Law
The PDPA gives you specific rights over your personal data. We take these seriously because they're important protections.
Access Your Data
You can request a copy of what personal information we hold about you. We'll provide it in a readable format within 30 days.
Correct Inaccuracies
If something we have on file is wrong or outdated, let us know and we'll fix it promptly.
Delete Your Data
You can ask us to delete your information, subject to any legal obligations we have to retain certain records.
Object to Processing
If you're uncomfortable with how we're using your data, you can object and we'll review the situation.
Data Portability
Request your data in a structured format that you can transfer to another service provider if needed.
Withdraw Consent
If we're processing data based on your consent, you can withdraw it anytime. This won't affect past processing though.
How to exercise these rights: Send an email to contact@ultronprocore.com with your request. We'll verify your identity (to protect your data) and respond within 30 days. There's no fee unless your request is clearly unreasonable or repetitive.
How We Protect Your Information
Security isn't just a checkbox for us. We've implemented practical measures to keep your data safe:
- Encrypted connections (SSL/TLS) for all data transmission to and from our website
- Secure servers located in reputable data centers with physical security measures
- Access controls — only team members who need your data to serve you can access it
- Regular security audits and updates to our systems
- Secure backup procedures to prevent data loss
- Employee training on data protection and privacy best practices
That said, no system is 100% bulletproof. We do our best, but we can't guarantee absolute security. If we experience a data breach that affects you, we'll notify you and the relevant Thai authorities as required by law.
Sharing Your Information
We're selective about who we share data with. Here's the complete list:
Service Providers
We work with third-party companies that help us operate — like payment processors, cloud hosting services, and email platforms. These providers only access data necessary for their specific function and are contractually obligated to protect it.
Legal Requirements
We may disclose information if required by Thai law, court order, or government request. We'll push back on overly broad requests, but we will comply with legitimate legal obligations.
Business Transfers
If UltronProCore is acquired or merged with another company, your data would transfer to the new owners. We'd notify you beforehand and ensure they honor this privacy policy.
What we don't do: We don't sell your data to marketers, data brokers, or advertisers. We don't use it for purposes unrelated to our project management services.
International Data Transfers
Our primary operations are in Thailand, but some of our service providers operate servers in other countries. When we transfer data internationally, we ensure appropriate safeguards are in place:
- We only use providers in countries with adequate data protection laws
- We implement standard contractual clauses approved by relevant authorities
- We conduct due diligence on security practices of international partners
If you have concerns about international transfers, reach out and we can discuss the specifics of where your data is processed.
How Long We Keep Your Data
We don't keep data longer than necessary. Here's our general approach:
- Inquiry data: If you don't become a client, we delete inquiry information after 2 years
- Client data: Active client records are maintained during our relationship and for 7 years after, as required by Thai accounting and business laws
- Website analytics: Aggregated, anonymized data is kept indefinitely for trend analysis
- Marketing communications: Until you unsubscribe or request deletion
After retention periods end, we securely delete or anonymize data so it can no longer identify you.
Children's Privacy
Our services are designed for businesses and professionals. We don't knowingly collect information from anyone under 18. If we discover we've inadvertently collected such data, we'll delete it immediately.
Changes to This Policy
We review and update this policy periodically as our practices evolve or laws change. When we make significant changes, we'll notify active clients by email and post the updated version on our website with a new "Last Updated" date.
Continuing to use our services after changes take effect means you accept the updated policy. If you disagree with changes, you can terminate your relationship with us and request data deletion.
Third-Party Links
Our website may contain links to other sites — resources we think might be useful. We're not responsible for the privacy practices of those sites. When you click away from ultronprocore.com, this policy no longer applies. Read the privacy policies of other sites you visit.
Questions or Concerns?
If something in this policy is unclear, or you want to exercise your rights, or you just have questions about how we handle data — get in touch. We're here to help.
You also have the right to file a complaint with the Personal Data Protection Committee in Thailand if you believe we've mishandled your data. We hope it doesn't come to that, but the option exists.
